Privacy Policy

Tenvicon Environmental Testing & Consulting Ltd. (“Tenvicon”, “we”, “us”) provides environmental, social, and ESG consulting services from offices in Najjera Kira, Uganda. This page explains what personal information we collect when you use tenvicon.com, how we use it, how long we keep it, and who we share it with.

Information we collect

We collect personal information directly from you in three ways:

  • Contact form— name, email, optional phone, optional company, and the content of your message.
  • Quote / project request form— name, email, optional phone, optional company, the service you need, project location, timeline, optional funding source, and project details.
  • Equipment hire enquiries— routed through the quote form above.

We also automatically capture a one-way SHA-256 hash of your IP address (truncated to 32 characters) at the moment you submit a form. The original IP is not stored. The hash is used to detect and rate-limit abusive submissions, and cannot be reversed back to your IP.

If you exchange email with us, we keep the email thread the same way any business would — in our regular email inbox.

How we use it

  • To respond to your enquiry, send a written quote, or arrange a consultation.
  • To send an automated acknowledgement to the email address you provided, so you know your submission reached us.
  • To detect and block spam or abusive form submissions.
  • To meet legal, accounting, and tax requirements if our exchange leads to a contract.

We do not sell your information. We do not use it for advertising. We do not share it with third parties for marketing purposes.

How long we keep it

Contact form submissions and quote requests are automatically deleted from our database 90 daysafter you submit them. This is enforced as a database-level expiry, not a manual process. If your enquiry leads to a contract, we retain the relevant project records in our email and accounting systems for as long as Ugandan business and tax law requires — typically seven years.

Service providers we use

We rely on three external services to operate the website. Each receives only the information needed for its specific role.

  • Resend— transactional email provider. Receives the email address, name, and message body of submissions to deliver the notification to our team and the acknowledgement to you.
  • Cloudflare— DNS, CDN, and bot protection (Turnstile) for the public site. Cloudflare may receive standard request metadata (IP address, user agent, referrer) for security purposes; this is governed by Cloudflare’s own privacy policy.
  • DigitalOcean— cloud hosting for the application and database.

Cookies and tracking

The site does not set marketing or third-party advertising cookies. We use a privacy- respecting analytics service to count page views and referrers in aggregate — no personal profiles are built and the data cannot be tied to an individual.

Your rights

You can ask us to:

  • Confirm whether we hold any personal information about you.
  • Send you a copy of what we hold.
  • Correct anything that is inaccurate or out of date.
  • Delete your information from our active records, subject to legal retention requirements.

Changes to this policy

We may update this page when our practices change — for example if we add or remove a service provider, or if Ugandan data-protection law changes. The “last updated” date at the top of the page reflects the current version.
